Laserfiche Avante

The Laserfiche Avante system allows small and medium sized enterprises to manage content, mitigate content-related risks, and put information to use for business people and processes. Laserfiche begins with basic content services, and adds document capture, library services, and a wide variety of other tools and functionality to improve the flow of business.

What is it?

The Laserfiche suite forms the core of CPS’ document management software offerings. Laserfiche allows for the electronification of paper documents through scanning and the import of electronic documents into a comprehensive management system.

The system grants users a wide variety of processing and search tools such as approvals, annotations, keyword and template searches, workflows and much more. Since 1987, more than twenty-eight thousand organizations worldwide—including federal, state and local government agencies and Fortune 1000 companies—have used Laserfiche to streamline document and business process management.

Laserfiche gives system administrators central control over their documents and media, including standards, security and auditing, while still offering flexibility to respond to changing needs. The Laserfiche product suite is built on top of Microsoft technologies and features a seamless integration with Microsoft Office applications. Laserfiche supports Microsoft SQL and Oracle platforms.

How does it work?

Media is introduced into the system. Paper documents are scanned or otherwise imaged and other media types (PDFs, Word documents, .wav files, photos, etcetera) are imported.

Documents are classified and metadata (information pertaining to or contained within the media) is entered/extracted/imported. Documents are also notated and cleaned up. These processes occur through automated means, manual means or a combination of both.

Documents and media enter the Laserfiche repository and go through a lifecycle with the help of previously extracted information (metadata), the Laserfiche Workflow product, and user involvement. The lifecycle of each class of document is different depending on the documents’ role in the organization where the system is being used. Typically, documents are OCRd (have their text optically recognized) early in this lifecycle process so users can find any document in the system by searching on any of the text contained in documents.

Eventually, each document or other piece of media reaches final disposition, meaning they no longer requires processing. Final disposition may involve the document being placed in an inactive volume, however, it may also see the document remaining available indefinitely for retrieval and distribution.
